Keystone
by CloudVoro
Comparison · Sage X3

Sage X3 is a full ERP.
Keystone is everything below the GL — without the ERP project.

Sage X3 is the system most growing producers get sold once they outgrow QuickBooks or Sage 50. It is a legitimate, mature mid-market ERP — finance, procurement, inventory, manufacturing, the lot. The honest question is whether you need a full ERP project right now, or whether you need batch traceability, dispatch and retailer documentation to work next month while your finance team carries on using whatever they already use.

  • Pilots scoped to go live in 30 days vs typical 6–12 month Sage X3 implementations
  • Standard licence €790/month vs Sage X3 list pricing of €150+/user/month plus annual maintenance
  • Founder-led implementation — no SI partner mark-up
  • Sits beside your existing accounts package
Where Sage X3 is genuinely strong

Full ERP. Mature finance. Multi-entity.

Sage X3 is a full mid-market ERP with mature general ledger, multi-entity accounting, multi-currency, advanced inventory and a serious manufacturing module. For a 250+ employee producer running multiple legal entities, with European subsidiaries and complex consolidation requirements, X3 earns its keep. The Sage X3 partner ecosystem (Datel, Eclipse, others in Ireland and the UK) is large and experienced.

Where Keystone wins

Speed, scope, cost — the production-layer-only thesis.

Faster live
Pilots scoped to go live in 30 days. Sage X3 food deployments are typically 6–12 months from kick-off (source: Sage partner published case studies, 2024–25).
No ERP project tax
Implementation €4,950–€16,500 fixed-fee. Sage X3 mid-market implementations are typically €60k–€250k once partner services are included (source: Gartner mid-market ERP pricing, 2024).
Built for retailer workflows
Variable-weight batches, retailer private-label SKU mapping, per-customer dispatch templates, COAs and pallet labels are first-class. In Sage X3 these are typically partner add-ons.
Keep your accounts package
Most Irish producers we talk to are happy with AccountsIQ, Sage 50, Sage 200 or Xero for finance. Keystone integrates and stays out of the GL.
Modern UI
Browser-based, tablet-friendly. Sage X3 is being modernised but still feels heavy.
How to choose honestly

When to pick Sage X3. When to pick Keystone.

Pick Sage X3 if your finance function genuinely needs a full ERP — multi-entity consolidation, complex procurement, MRP, group-level reporting — and you have the budget and timeline to do the implementation properly. Pick Keystone if your finance is already handled, you can wait two years to re-platform the GL, but you cannot wait six months to fix batch traceability, dispatch and retailer documentation. Many of our customers will eventually have a Sage X3 (or D365 / NetSuite) sitting alongside Keystone. That is a fine outcome.

FAQ

Questions buyers actually ask.

Will Keystone replace Sage X3 eventually?
No, and we are not trying to. Keystone is the production-layer SaaS — batch traceability, dispatch, COA, pallet label, mock recall. A real ERP handles finance, procurement and group reporting. If you already run X3, Keystone integrates via API and stays in its lane.
How much does Sage X3 actually cost?
Sage do not publish list pricing; typical mid-market food deployments we have seen quoted range from €60k to €250k for implementation, plus €150–€220/user/month subscription, plus annual maintenance. Source: aggregated Irish partner quotes and Gartner mid-market ERP pricing surveys (2024).
Can you do a head-to-head pilot against an X3 quote?
Yes. Bring us your X3 SOW and we will scope a 30-day pilot. €2,500 pilot fee, 50% refundable if you decide X3 is the better fit.
